Privacy Policy

Last updated: 12 October 2026

This policy explains how Pillar Intelligence collects and uses personal data when you visit our website or contact us, including when you request a demo, and the rights you have under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

The website pillarintelligence.ai (pillarintelligence.com redirects to it) is operated by [registered company name], a company registered in [England and Wales] under company number [number], with its registered office at [registered address] (“Pillar Intelligence”, “we”, “us”). We are the controller of the personal data described in this policy. We are registered with the Information Commissioner’s Office (ICO) under registration number [ICO number].

You can contact us about this policy or your personal data at info@pillarintelligence.com.

2. The information we collect

When you request a demo

  • Your first and last name, work email address, company name and role.
  • Information about your business: industry sector(s), a short description, the accounting app you use, your monthly purchase invoice volume and the countries in which you operate.
  • Anything you choose to add in the notes field.
  • Whether you have opted in to receive product updates, and the date and time of your request.

Technical information

  • When you submit the demo form we record your browser type (user agent) and a scrambled (“hashed”) version of your IP address. We use these only to protect the form against spam and abuse; we cannot read your IP address back from the hashed value.
  • Like most websites, our hosting provider keeps standard server logs (such as IP addresses and the pages requested) for security and to keep the website running.

When you contact us

If you email or speak with us, we keep a record of that correspondence and the contact details you give us.

Please do not include sensitive personal data (for example, health information) in the form or in messages to us.

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.

4. Marketing

We will only send you product updates and insights if you have ticked the optional box on the demo form or otherwise agreed to receive them. Every marketing email includes a way to unsubscribe, and you can also opt out at any time by emailing info@pillarintelligence.com. Opting out does not affect messages about a demo you have requested.

5. Who we share your information with

We do not sell your personal data. We share it only with service providers who help us run our business, under contracts that require them to keep it secure and use it only on our instructions:

  • Website and database hosting: Namecheap, Inc., which hosts this website and the database in which demo requests are stored.
  • Email: our email service provider, which delivers demo request notifications to our team and handles our correspondence with you.
  • Professional advisers such as lawyers and accountants, where needed.

We may also disclose information where required by law, or to a buyer or successor if our business is reorganised or sold, subject to equivalent protections.

6. International transfers

Demo request data is stored in [the United Kingdom / the European Economic Area / the United States: confirm the data centre selected for the Namecheap hosting plan]. Where any of our service providers process personal data outside the UK, we make sure appropriate safeguards are in place, such as UK adequacy regulations, the UK Extension to the EU–US Data Privacy Framework, or the ICO’s International Data Transfer Agreement or Addendum to the EU Standard Contractual Clauses.

7. How long we keep your information

  • Demo requests and related correspondence: up to 24 months after our last contact with you, unless you become a customer, in which case our customer privacy terms apply.
  • Marketing preferences: until you unsubscribe or withdraw consent. We keep a minimal record of your opt-out so that we respect it.
  • Spam-protection data (hashed IP address and browser type): kept with the demo request and deleted with it.

After these periods we securely delete or anonymise the information.

8. How we protect your information

We use appropriate technical and organisational measures to protect personal data. These include encrypted connections (HTTPS) to our website, restricted access to the demo request database, and storing database credentials outside the publicly accessible part of our website.

  • Rectification: have inaccurate or incomplete data corrected;
  • Erasure: ask us to delete your data in certain circumstances;
  • Restriction: ask us to limit how we use your data in certain circumstances;
  • Object to processing based on legitimate interests, and to direct marketing at any time;
  • Data portability: receive data you gave us in a structured, machine-readable format, where processing is based on consent or contract;
  • Withdraw consent at any time, where we rely on consent. This does not affect processing before you withdrew it.

To exercise any of these rights, email info@pillarintelligence.com. We will respond within one month. We may need to confirm your identity first. There is normally no charge.

10. Cookies

This website does not currently use cookies or similar tracking technologies. If that changes, we will update this policy and, where the law requires it, ask for your consent first.

You also have the right to complain to the Information Commissioner’s Office, the UK’s data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
